Your Impact:


Our office in Basel has a strong focus on life science industries mainly serving pharmaceutical and biotechnology companies. Our contribution ranges from early feasibility studies to modifications of existing facilities and production lines up to the realization of large green field projects.

Key Role Responsibilities:

Facility Lead for the Basel Office

  • Ensure that office is provided with the equipment, supplies, and services necessary for daily operations, including standard office supplies, sundries, and personal protective equipment.
  • Assisting in managing the office overhead budgets and monitor the financial reports of these to ensure accuracy. Provide input to annual business planning as it relates to the local office. Ensure all required Real Estate Operations Finance reporting and reviews are completed.
  • Approve and process invoices and charges related to local facility management.
  • Internal coordination of communication (mail, e-mail, phone calls) received by external partners
  • Providing assistance to Projects when requested for travel booking, document transmittals, site office equipment delivery coordination etc.
  • Point of contact for coordination with Jacobs Poland office regarding finance / accounting

Assistance to Operations Management

  • Support, partner, and communicate with local office line of business leadership
  • Support in Workforce Planning and participation in Leadership Meetings
  • Liaise with the Operations Management regarding the production of internal communications or office-based staff issues
  • Organizing of business travels and expense management for the Office Lead
  • Organizing company and team events

Support for HR and Global Mobility

  • Support of the HR Manager in managing the car fleet, company rented apartments, mobile subscriptions
  • Support and coordination within Onboarding and Offboarding process

Permit application for Project team members

Here’s What You’ll Need:
  • Minimum Professional degree preferable in office management / business administration
  • Further education in the field of HR is a plus
  • At least 3 years of professional experience in a similar position
  • Structured and independent working style
  • Ability to understand and handle links among managed topics and proactive work approach
  • Enjoy working in multidisciplinary teams and taking responsibility
  • Solution-oriented approach in case issues arise during the execution of the tasks
  • Understanding of Company organizational dynamics and relevant communication channels
  • Willingness for business travels to project sites within Switzerland
  • Business fluent English and German language skills are a must
  • High level of confidentiality
