Part-Time Office Administrator [New Zealand]


 

This is a part-time 25 hours per week role (5 hours/day) Monday-Friday and you can start anytime between 7.30AM-8.30AM.

The role
Reporting to the Project Assistant, you’ll be bringing your excellent collaboration skills to the fore as daily communication and liaising with the team will be a big aspect of this role. Along with these, you’ll also:

  • Raise purchase orders and process related invoices
  • Manage daily administration tasks, kitchen facilities, and any building maintenance/repairs for the depot in conjunction with Delivery Manager-Logistics and Facilities
  • Greet customers/visitors and assist them to sign-in and make contact with the appropriate onsite staff member
  • Undertake a range of general administrative tasks including but not limited to filing, photocopying, scanning, emailing and record-keeping
  • Organise external catering for meetings and events on behalf of the wider Capital team
  • Arrange for equipment to be sent for testing, calibration and repairs
  • Investigate and reconcile incoming Chorus damage claims against projects and raise POs for timely payment.
  • Answer incoming calls and manage a shared customer service inbox ensuring customer and client enquiries/complaints are responded to in a timely manner and follow through for investigation and timely resolution

About you
To be successful in this role, you’ll be comfortable liaising with multiple people and departments, be detail-focussed and able to see the bigger picture. This is a busy role and no two days will be the same, thus it goes without saying that you’ll be friendly and resilient. To be successful in this role, you’ll also have:
  • Previous experience working in a similar or client/customer facing role
  • Excellent interpersonal skills with the ability to communicate at all levels
  • Intermediate to advanced knowledge of MS Office suite
  • System-savvy and ability to learn new software systems
  • Strong organisational skills, detail-focussed with the ability to prioritise work to meet targets and deadlines
